What Batohi collects, what it is used for, how long it is kept, and what it is never used for.

Batohi tells you what happened to the email you send from Gmail or Outlook: whether it was opened, which links were clicked, and whether you got a reply. This page sets out what information that takes, what we do with it, and what we never do with it.
What we collect
- Your account — your name and email address, from the Google or Microsoft account you sign in with.
- The emails you track — the subject, recipients and time sent.
- Opens and clicks — when they happened, with the approximate location and device of each. We use this only to tell you what happened to your email, not to build a profile of you or of anyone you write to.
- Visits to our website — on batohi.com's public pages, Microsoft Clarity records how visitors scroll and click so we can improve the site. It masks anything typed into a form, and it never runs inside the Batohi app.
- Replies — that a reply arrived, when, and which of your emails it answered.
- Some message text — a short, encrypted excerpt of replies you receive and of messages you write inside Batohi, so we can show you what was said and answer your questions about it. We can switch this off for your account on request.
How we use it
Only to provide Batohi to you. Your data is never sold, never shared with anyone for their own purposes, and never used for advertising.
When you ask Batohi a question about your conversations, the question and the relevant data are sent to our AI provider, which processes it on our behalf to return the answer. Our providers are listed on the subprocessors page.
Limited Use
Batohi's use of information received from Google, including through our Chrome extension, follows the Chrome Web Store User Data Policy, including its Limited Use requirements. That information is used only to provide the features you asked for, is not transferred except to provide them, to comply with the law or for security, is never used for advertising, and is not read by a person unless you allow it, it is needed to fix a problem you reported, or the law requires it.
How long we keep it
Raw evidence — such as the network details recorded with an open or a click — is kept for 90 days, then erased.
Derived conversation intelligence — what we concluded, such as whether you were answered and how quickly — is kept for up to 12 months after a conversation's last activity, so you can look back on your history.
Message text is kept as long as the conversation it belongs to.
Deleting your data
You can delete data from a connected mailbox at any time from your settings. To delete your whole account and everything in it, email us; we do it within 30 days.
Your recipients
You are responsible for the people you email through Batohi: for having a legitimate reason to write to them, for any consent the law where you work requires, and for respecting their wishes. We handle their data on your behalf.
Payment
Card payments are handled by our payment provider. Batohi never sees or stores your card details.
Security
Your data is encrypted in transit, and sensitive data, such as mailbox access and message text, is also encrypted when stored. No system is perfectly secure; if you find a vulnerability, please tell us before telling anyone else.
Changes
If we change what we collect or how we use it, we will update this page before the change takes effect.
